How can I grow my business with AI? A realistic starting plan
Published: · Mehmet Emin Çoban, Coban Labs
AI helps a business most with the writing, answering and sorting work a team repeats every day: answering customer questions, drafting quotes and emails, prioritising incoming requests, and making company knowledge easy to find. The right start is to pick one task and run AI on your own information, with a person approving the important steps.
What can AI actually do in a business?
Staff using tools like ChatGPT on their own is a good first step. The real difference comes when AI is connected to the company's own information and tools.
Then it answers knowing your price list, procedures and customer history; it books appointments, creates CRM records and puts drafts in front of you for approval. Nobody has to copy information by hand, and every answer is logged.
Four areas with concrete uses
Where AI pays off fastest in a business:
- Customer contact: an assistant on WhatsApp and your website that answers day and night and hands over what it cannot answer.
- Sales: draft quotes from call notes, incoming requests ranked by priority, reminders when a follow-up is due.
- Internal work: an assistant that answers staff questions about procedures, leave and products from company documents, with the source.
- Management: a summary of the week's numbers, customer reviews and complaints grouped by topic.
What should AI not do on its own?
Contracts, price negotiations, legal or medical advice and payments should not be left to AI. In these steps it prepares a draft and a person decides.
Language models can give a confident wrong answer about something they do not know. You reduce this by having it answer only from your sources, pass the question to your team when unsure, and log every answer.
Where to start: five steps
Starting small and growing as it proves useful is the lowest-risk path.
- Pick the task that takes the most time or brings the most questions.
- Gather the information AI will rely on: price list, frequent questions, procedures.
- Set it up first as a helper that prepares drafts, with a person approving.
- Run it on real data for a few weeks and review the answers together.
- Once it works, widen its permissions and scope.
Data, GDPR and the AI Act
Any system that processes personal data falls under GDPR. Which data is collected, why, and which service it goes to should be settled before the build.
In the EU, the AI Act transparency rule has applied since 2 August 2026: people must know when they are talking to an AI. Assistants built by Coban Labs say so clearly.
How Coban Labs works
Mehmet Emin Çoban leads the R&D team at Digiens Academy. With his team he built Digiens ERP, used every day by more than 40 employees, and Sellibra, a SaaS for Etsy sellers with over 3,500 active users. For the Digiens AI community of 500+ students, he created the technical library that shows step by step how AI is set up in a business.
At Coban Labs, AI is built as a system connected to your existing tools, with limited permissions and every step logged. In a 15-minute call I tell you plainly which of your tasks suit AI.
FAQ
Do I need to be a large company to use AI?
No. A team of a few people can start with one task; when the scope is small, so is the cost.
Isn't it enough that my staff use ChatGPT?
It is a good start, but information is copied by hand every time and nothing is recorded. Connected to your company's information and tools, AI does the work itself and every step is logged.
Will AI replace my staff?
The realistic expectation is that it takes over part of the repetitive work so your team can focus on harder cases. Important decisions stay with people.
Does my data go to AI companies?
It depends on the model and settings. Before the build we decide which data goes to which service, personal data is kept to a minimum and EU servers are preferred where possible.
What does it cost?
A first project focused on one task starts at €1,500 at Coban Labs. Larger work gets a fixed quote after a 15-minute call.
Describe your problem in two sentences.
In a 15-minute call I'll tell you plainly whether it can be solved and roughly how long it takes.
