How do I reduce appointment no-shows? Confirmations, reminders and follow-up

Published: · Mehmet Emin Çoban, Coban Labs

Customers usually miss appointments because they forget or because cancelling is awkward. The most effective steps: a confirmation when they book, a reminder the day before and, if needed, on the day, one-click cancel and reschedule, and a friendly follow-up for those who did not show up. All of it can run automatically.

Why don't customers show up?

Most no-shows are not bad intentions. Common reasons:

  • They forgot; the booking was a long time ago.
  • They knew they couldn't come, but cancelling or letting you know was difficult.
  • Time, address or preparation details were unclear.
  • The appointment was given over the phone and there was nothing in writing.

1. A written confirmation at booking

As soon as someone books, they get a confirmation with date, time, address and any preparation details. Bookings taken by phone trigger the same message once entered in the system. An add-to-calendar link in the message helps people remember.

2. Reminders at the right time

One reminder the day before, plus a short message the same morning for early appointments. Send reminders on the channel the customer already uses with you: WhatsApp for those who wrote on WhatsApp, email for those who came by email.

3. Make cancelling and rescheduling easy

The easier it is to let you know, the earlier a free slot appears. Put a one-click reschedule or cancel link in the reminder. A freed slot can be offered automatically to someone on a waiting list.

4. A friendly follow-up for no-shows

Customers who did not show up get a short message that does not blame them and offers a new time. Some of them come back. If the same person often misses appointments, it shows in the record, and you can set your booking rule (such as a deposit) accordingly.

5. Measure it

A weekly summary shows how many appointments were booked, how many were cancelled and how many were no-shows. Within a few weeks you see which days, times and services are affected most.

Rules to keep in mind

Booking confirmations and reminders are service messages about something the customer asked for. Sending marketing on the same channel needs separate, clear consent. For people in the EU, GDPR applies; on WhatsApp, messages the business starts are sent with templates approved by Meta.

How Coban Labs sets this up

In Digiens ERP, built by Mehmet Emin Çoban and his team, bookings, WhatsApp processes and sales follow-up run in one system. At Kokon Global, every booking flows automatically to the website, a sheet and the CRM, and the sales team tracks appointments in one place.

At Coban Labs, the calendar or booking tool you use is connected to your messaging channel: confirmations, reminders, rescheduling and follow-up run by themselves. The first automation package starts at €1,500 and runs within two weeks.

FAQ

When should reminders go out?

For most businesses, one reminder the day before is a good start, with a short same-morning message for early appointments. The right timing is tuned with a few weeks of data.

SMS, WhatsApp or email?

The channel the customer used to reach you is usually best. If several channels are used, one is chosen per customer, so the same reminder is never sent twice.

Do I need to change my booking software?

Usually not. The calendar or booking tool you already use is connected to messaging and the CRM.

Should I ask for a deposit?

That is your decision. Starting with reminders and easy cancelling, keeping records and setting a special rule only for frequent no-shows is often the more balanced route.
