Why am I missing customer requests? How to catch every enquiry

Published: · Mehmet Emin Çoban, Coban Labs

Requests are rarely missed because a team does not care. They are missed because they arrive on different channels and nobody is clearly responsible. The fix: every request from every channel lands in one list, each one gets an owner, the customer gets a first reply straight away, and anything left unanswered triggers an automatic reminder.

Why do requests get missed?

Behind missed requests there are usually the same few reasons:

  • Requests are spread over four or five channels: website form, email, WhatsApp, Instagram, phone.
  • Nobody knows who owns a request; everyone assumes someone else replied.
  • A request that arrives after hours waits until morning, and the customer asks elsewhere in the meantime.
  • Follow-up lives in one person's memory or personal phone.
  • Nobody can tell whether a request was answered without checking by hand.

What does a missed request cost you?

Someone asking for a price or an appointment rarely waits when no reply comes; they write to the next option. The effort spent on ads, the website and social media is lost in an unanswered message.

It is easy to measure for your own business: count the requests that come in over one week and note how many were answered the same day.

Step 1: Every request lands in one list

Each request from your form, email and WhatsApp is saved automatically in one list: who, what they asked, which channel, when. That list can be a simple spreadsheet or a CRM. What matters is that the team looks in one place.

Step 2: Every request has an owner

As soon as a request arrives, it is assigned to a person by topic or in turn, and that person is notified. Nobody has to discuss who replies; the list shows it.

Step 3: The customer gets a first reply straight away

When a request comes in, the customer automatically gets a first message: we have your request and will get back to you by a given time. For frequent questions (prices, opening hours, address), an AI assistant can answer immediately from your own information and hand over what it does not know.

Step 4: Unanswered requests trigger reminders

If a request is not answered within the time you set, the owner, and if needed a manager, gets a reminder. A weekly summary shows how many requests came in, how fast they were answered and how many turned into sales.

FAQ

Can I collect requests without a CRM?

Yes. A simple spreadsheet such as Google Sheets is enough to start. As volume and the team grow, the same flow can move to a CRM.

Won't an automatic first reply feel cold?

A short, friendly message that says when you will get back is received far better than no reply at all. The wording is written entirely in your voice.

Can Instagram and phone requests go into the list too?

Instagram messages can be connected. For phone requests, the team fills in a short two-field form, so they land in the same list.

How long does it take to set up?

The first version, with one list, owner assignment and reminders, usually runs within two weeks.
