How do I keep track of customers who message on WhatsApp? From phone to system

Published: · Mehmet Emin Çoban, Coban Labs

With few messages, the labels and quick replies in the WhatsApp Business app are enough. When volume grows or several people reply, you move to a shared inbox and a CRM through the WhatsApp Business Platform: every conversation is linked to a customer record, with an owner and a status everyone can see.

Why do customers get lost on WhatsApp?

WhatsApp is the easiest channel for customers, but a chat list on a phone is not a tracking system. New messages push old ones down, customers waiting for a reply become invisible, and because the phone is with one person, work stops when that person is away.

There is also an information problem: what each customer asked, whether a quote was sent, whether they bought, none of it is recorded anywhere outside the chat.

Stage 1: Use the WhatsApp Business app properly

For businesses with a few messages a day and one person replying, the free app is enough. Used well:

  • Labels: give every chat a status such as new customer, quote sent or awaiting payment.
  • Quick replies: save frequent answers such as prices, address and opening hours as shortcuts.
  • Greeting and away messages: customers who write after hours know when you will reply.
  • Catalogue: show your products or services inside the app.

Stage 2: A shared inbox and CRM as the team grows

When several people reply, or messages reach dozens or hundreds a day, a phone is not enough. With the WhatsApp Business Platform (API), messages to the same number are collected in a shared inbox.

Every conversation is linked to a customer record: who wrote, about what, who owns it, what status it has. Conversations are assigned to a person, and unanswered ones trigger reminders. Customer history lives in the company system, not on a phone.

Stage 3: Automate the repetitive parts

Once records are kept properly, some WhatsApp work runs by itself:

  • An assistant that answers frequent questions from your information and hands over what it does not know.
  • Booking confirmations and a reminder the day before.
  • A follow-up for customers who received a quote but did not reply, if they agreed to be contacted.
  • An after-sale satisfaction question, with the answer saved to the record.

Rules to keep in mind

On the WhatsApp Business Platform, you can reply freely within 24 hours after a customer messages you. Outside that window, or when you send the first message, you use templates approved by Meta, and the price depends on the message type and country.

Marketing messages need clear consent, and opt-out requests must be respected. For people in the EU, GDPR applies.

How Coban Labs sets this up

In Digiens ERP, built by Mehmet Emin Çoban and his team, WhatsApp processes run connected to the CRM; opt-out requests are enforced by the system and the records of over 250,000 customers are in one place.

At Coban Labs, WhatsApp is connected to a CRM or a simple sheet through your own number and accounts. In a 15-minute call I tell you which stage you are at and what you actually need.

FAQ

Can several people use the same WhatsApp number?

Yes. The app supports a limited number of linked devices; for larger teams, a shared inbox is set up on the WhatsApp Business Platform and each conversation is assigned to one person.

Can I move to the platform without losing my number?

The number can be moved to the platform, but chat history from the app is not transferred. Important conversations are backed up before the switch.

Is the WhatsApp Business Platform paid?

Meta charges by message type and country, with free allowances for service replies in conversations the customer started. Current prices are on Meta's pricing page.

Where are messages stored?

Conversations and customer records are kept in a system in your own account. Personal data is stored only as long as needed, in line with GDPR.
